Email has become an essential tool for both work and personal life, and it’s easy for messages to get lost in the constant stream of communications. Responding to all your messages in a timely manner can be a challenge, especially when you receive dozens of messages a day. However, Gmail offers several features that can help you stay on top of your inbox and ensure you never forget to respond to an important email. Here are a few you should be aware of:

Use Desktop Notifications

Finally, one of the most effective ways to avoid missing any important emails is to enable Desktop Notifications. This feature alerts you every time you receive a new email, allowing you to respond immediately if necessary.

To enable notifications, go to Settings > General and look for the Desktop Notifications option. Select New Mail Notifications On and save the changes. This feature is especially useful if you work in an environment where response speed is crucial.

Activate Reminders

Despite all the precautions, there’s always the possibility that an email might slip through the net. This is where Gmail Reminders comes in. When this feature is enabled, the Google client automatically detects important emails you haven’t responded to and reminds you to do so. It can also suggest following up if you haven’t received a response to an email you sent.

To turn on Reminders, go to Settings > General and scroll down to the Reminders section. Check the two available options: Suggest emails to reply to and Suggest emails to follow up on. Make sure to save your changes when you’re done. It’s also important that the

Turn emails into tasks

Some emails require more than just a quick response; they may involve completing a task or writing a detailed response. For these cases, I use the Google Tasks feature built into Gmail. Turning an email into a task not only ensures I won’t forget to respond but also helps me keep my to-do list up to date.

To add an email to Google Tasks, right-click the message and select Add to Tasks. This will open a sidebar where you can add the task name and details, select the list it belongs to, and set a due date and time. This feature is especially useful for planning your day and making sure all your responsibilities are under control.

Squeeze the Priority Inbox

One of the keys to not forgetting to respond to important emails is to organize your inbox effectively. Gmail offers several organization options, but my favorite is Focused Inbox. This feature divides your inbox into sections, allowing you to prioritize the most relevant messages.

By default, there are three: Important & UnreadStarred, and Everything Else. This allows you to see emails that require your immediate attention first, followed by those you’ve marked as important, and finally, all other messages.

However, Gmail allows you to customize these sections to your needs. To do this, click the gear icon in the top right corner, select See all settings, then go to the Inbox tab and choose Focused Inbox from the drop-down menu. From there, you can adjust the sections to your preferences and save your changes.
